We are looking for a Finance & Operations Associate to join our small Finance, HR & Admin team. This is a hands-on generalist role spanning finance, operational administration, HR coordination, and multi-jurisdiction compliance support. You will work directly with senior leadership across all three offices and be expected to own tasks end-to-end with minimal supervision.
Key responsibilities
Employee Lifecycle Management (SW | GR | UAE)
- Prepare and process hiring documentation, employment contracts, and onboarding files
- Coordinate onboarding and offboarding procedures across jurisdictions
- Support work permit, visa, and residency documentation where applicable
- Maintain accurate employee records in line with local labor requirements
Operations & HR
- Act as internal point of contact for HR-related queries
- Coordinate with external payroll providers in Sweden, Greece, and UAE
- Support leave tracking, benefits administration, and internal HR policies
- Liaise with accountants, auditors, and legal advisors for HR-related matters
- Support internal reporting related to HR and operations
- Provide general administrative support to ensure smooth daily operations
Finance
- Assist in monthly invoicing reconciliation and ensure proper coordination with external accountants for timely and accurate close
- Support the annual audit process under the guidance of the Finance Manager, including preparation of schedules, documentation packages, and auditor requests
- Assist in the capitalization process, including tracking of qualifying expenditures, coordination with accountants, and maintenance of the fixed asset register
Requirements
- 2 years of experience in a finance, operations, or HR role – startup, professionalservices, or financial services preferred
- High level of discretion and confidentiality
- Familiarity with HR processes and employee lifecycle management
- Solid Experience in Microsoft Office 365 (Excel, Word, Powerpoint); experience with accounting software is a plus
- Ability to coordinate with external partners and stakeholders
- Excellent organizational skills and ability to juggle multiple priorities across jurisdictions simultaneously
- Strong written and verbal communication in both Greek and English
- Degree in Finance, Business Administration, Economics, or related field
